Which ITAD companies in Canada provide destruction records tied to each asset's serial number?

Zonal ASD, Quantum Lifecycle Partners, Greentec and eCycle Solutions each describe destruction records that carry serial numbers. The records differ in two ways that matter when you match them to your own asset list. One is whose serial number is on the record, the drive's or the computer's. The other is whether you get a certificate for each device or one certificate that lists every serial number in the load. Zonal, Greentec and eCycle each describe a per-device certificate for at least one of their services, and Quantum describes a serialized certificate with every load.

Which electronics recycling providers coordinate pickups across multiple Canadian offices?

eCycle Solutions, the Electronic Recycling Association, Quantum Lifecycle Partners and Greentec each describe a way to collect electronics from offices in more than one Canadian city. They organize it differently. eCycle and the Electronic Recycling Association list locations in several provinces, and the association says it will schedule trucks to each office from one list of sites. Greentec describes one pickup process for every site with processing at its Ontario plant, and Quantum puts decommissions at several sites under one plan with one team accountable.

Is onsite hard-drive destruction worth the premium over offsite?

It is for any drive that a policy or contract says can't leave your building intact, because onsite is then the only route that complies. For other drives it's a choice with a price. On Recycle Bridge's published Toronto-area rates, onsite destruction costs CA$185 more per visit and CA$15 more per drive than pickup with destruction at the provider's facility. That comes to CA$365 extra for 12 drives. The money buys two things: no intact drive travels, and your staff can watch the work. Whether that's worth paying for comes down to how far your policy trusts a sealed, documented trip to a plant.

Does NAID AAA certification cover onsite hard-drive destruction?

Only when the provider's certificate says so. NAID AAA is issued with endorsements, and onsite hard-drive destruction is covered when the certificate carries a Mobile Operation Endorsement that names Physical Hard Drive. The certificate also has to list the location that sends the truck and be valid on your service date. i-SIGMA, the association that runs the program, defines each certification by its endorsements. One set covers mobile or facility-based operation, and another covers each type of media. So a company can hold NAID AAA for shredding drives at its plant, or for shredding paper at your office, without holding it for the job you're buying.

Does a mid-market company need an RPRA-registered provider?

Ontario's electronics regulation doesn't make a company register with RPRA for retiring office equipment it bought for its own use, and it doesn't order that company to pick a registered provider. That holds while the company is only an end user, not also a producer or a service provider. The duty sits with the provider. Under O. Reg. 522/20, the business that arranges to haul your used equipment and the business that processes it must each register with the Resource Productivity and Recovery Authority. So the practical answer is yes for those two roles. A hauler or processor has 30 days from its first load to register, so an established vendor that hasn't registered after that deadline has missed a duty that applies to it. What documentation should a mid-market ITAD engagement produce?

A mid-market ITAD engagement should produce a file that accounts for every device you handed over. That file holds the inventory you made before pickup, signed custody records for the shipment, the provider's inventory of what it received, a sanitization or destruction record for each device that stored data, a record of where the hardware went afterward, and a settlement for anything resold. You should be able to pick any serial number from your list and follow it to one recorded outcome. If you can't, the file has a gap, however many certificates it contains.

Some do. Four Ontario providers that sell drive destruction on its own post per-drive prices. Carbon Neutral Shredding lists $10 per hard drive, Eco-Tech Waterloo lists CA$10.50 for a loose drive, and XYZ Storage lists $24.99 per drive dropped off in downtown Toronto. Recycle Bridge lists CA$25 per drive plus a CA$65 pickup and certification fee, or CA$40 per drive plus a CA$250 service call for on-site destruction. Who provides white-glove IT asset pickup and packing in the GTA?

Greentec and Quantum Lifecycle Partners both offer a service they call white glove, in which their crew packs your equipment at your site and takes it away. Greentec's Toronto page says it services Toronto and area, and its pages describe a crew that audits the assets, supplies the packing materials, and does the packing and loading. Quantum has a North York address and lists white-glove logistics with pack and transport among its onsite services. Zonal ASD, whose office is in Mississauga, describes a similar arrival in different words: vetted staff bring lockable containers and inventory every item on site.
