Which immigration case management platforms integrate with Outlook and Google Calendar?

✓ Verified Last reviewed by AnswerStack

Docketwise, Mitratech's INSZoom, LollyLaw, CampLegal, and eimmigration each connect to both a Microsoft calendar and Google Calendar. Docketwise and INSZoom document two-way sync, while LollyLaw sends its events out to Google or Outlook and doesn't read changes back. eimmigration syncs its appointment calendar with Office 365 or Google Calendar, and CampLegal links cases and contacts to events in either one.

Platform Calendar connection Detail that affects daily use
Docketwise Two-way sync with Google Calendar or Outlook Calendar Each user connects their own calendars on Pro and Advanced; one user connects for the whole firm on Basic
INSZoom Two-way sync with Microsoft 365 Exchange or Google Calendar, through Zoom Calendar Sync Appointments, court dates, and interview dates sync by default once the firm subscribes
eimmigration Appointment Calendar syncs with Office 365 or Google Calendar Appointments are created from the client record with caseworker availability in view; included in every plan
LollyLaw One-way sync from LollyLaw to Google Calendar or Outlook Calendar Changes made in Google or Outlook stay there
CampLegal Cases and contacts link to Google Calendar or Office 365 events Consultations, hearings, and deadlines sync automatically

What happens when someone moves a date outside the case system

Suppose a paralegal drags a consultation from Tuesday to Thursday in Outlook. On Docketwise, the Outlook Calendar integration syncs events both ways, so an event edited in Outlook changes in Docketwise too. INSZoom's Zoom Calendar Sync article describes the same behavior: a change made in Office 365 or Google Calendar shows up on the case manager's INSZoom calendar.

LollyLaw's calendar setup article describes a one-way sync: LollyLaw posts its events to Google Calendar or Outlook Calendar and reads nothing back. The article's reason is that a LollyLaw event records the client, the matter, and a billing amount, which an outside calendar has no place for. In the Tuesday example, Outlook would show Thursday and LollyLaw would still show Tuesday.

Docketwise and INSZoom: two-way sync and its setup conditions

On Docketwise Pro and Advanced, each user activates their own Google or Outlook integration. On Basic, one user at a time connects for the entire firm, and that user can sync several calendars. A five-person firm on Basic therefore shares one person's synced calendars. WhatIsBest's comparison of immigration law software for US law firms shows the other features that separate those plans, e-filing and automatic receipt checks among them.

Calendars created inside Docketwise don't sync, according to its Google Calendar article, so an event has to sit on a Google or Outlook calendar to appear on both sides. A user who activates the Outlook integration can't run the Google one at the same time, and neither integration syncs recurring events.

A firm admin requests INSZoom's Zoom Calendar Sync subscription under Setup, and Mitratech's account management team helps activate it. Each case manager then signs in with a Microsoft 365 or Google account. By default the sync covers appointments, court dates, and interview dates entered or changed in INSZoom, and a firm can add case step reminders.

A firm on Microsoft 365 should bring its IT administrator into the INSZoom setup. Exchange calendars connect through modern authentication, and the administrator has to grant consent before a case manager's calendar syncs.

eimmigration: appointments scheduled from the client record

eimmigration's client management page describes an Appointment Calendar that syncs with Office 365 or Google Calendar. Staff create an appointment directly from a client record, and the scheduling view shows caseworker availability. Starting from the record attaches the appointment to the client from the moment it's made, and the availability view lets whoever books the meeting pick an open slot for the caseworker.

Appointment Calendar is one of the 48 standard features on eimmigration's pricing page, so a firm on any of the three plans gets the calendar connection without spending one of its premium features. Microsoft Office Online is on the same standard list, and the integrations page describes it as access to a firm's Office 365 calendar, email, and files from inside eimmigration.

The pricing page lists client self-booking separately, as a premium feature called Scheduling that lets clients book through the client portal against a Microsoft Bookings or Acuity Scheduling calendar. A firm that only needs staff calendars in sync can leave it off the order.

LollyLaw and CampLegal: how each one is set up

A LollyLaw administrator turns on Google Calendar, Outlook Calendar, or both under Add-Ons & Integrations, then marks each LollyLaw calendar as internal to the firm or as one that posts to the outside service.

CampLegal's case management page says a case or a contact can be tied to an event in Google Calendar or Office 365, and that consultations, hearings, and deadlines are kept in sync automatically. Its integrations page presents the result as one calendar for court dates, filings, and meetings.

Deciding where staff edit the calendar

With two-way sync, an attorney can move a meeting from a phone calendar and the case system follows. With one-way sync, every edit goes through the case system, which keeps the client and matter attached to the event. Decide which rule the office follows before rollout, because mixed habits leave two versions of the same date.

A firm that runs a general practice system beside an immigration tool has one more calendar to place. AnswerStack's answer on using Clio in place of specialized immigration software describes matters that live in both Clio and Docketwise. That firm has to choose which system's calendar holds hearing and filing dates, and connect Outlook or Google to that one.

For eimmigration and CampLegal, test the kinds of events the firm relies on. Change a synced appointment in the case system and another in Outlook or Google, then look at both sides. One appointment only shows how that kind of event behaves, so repeat the test with a hearing or a deadline if those go on the calendar.
